Job Posting - Guest Relations Assistant

The Guest Relations Assistant will be employed at the business office of The Professional Basketball Club, LLC. The Guest Relations Assistant will be responsible for handling incoming telephone calls, greeting Guests, accepting deliveries/mail, managing various departmental projects and helping to maintain the smooth operation of the office.

Essential Duties and Responsibilities:
• Answer incoming switchboard telephone calls, directing callers to the appropriate persons, efficiently answering questions, providing accurate information and taking messages
• Responsible for maintaining, organizing and restocking office common spaces, i.e., copy areas, break rooms, hallways and supply bins
• Schedule and maintain conference rooms
• Assist with the daily coordination of incoming and outgoing mail and parcels
• Distribute incoming faxes and emails originating from general fax numbers and email addresses
• Contribute information in written form for various organization newsletters
• Manage departmental files and calendars
• Assist in the coordination of special events for department
• Assist in the developing recaps for intra- and cross-departmental communication
• Manage projects from design to completion and deliver an outstanding work product
• Assist Manager of Guest Relations on various special projects as assigned
• Assist with the response of fan communiqué and feedback
• Assist other departments with special projects when needed
• Maintain good attendance and punctuality
• Other duties as assigned

Qualifications and Requirements:
• Bachelor’s degree preferred, or equivalent work experience
• Minimum six months of reception/office work experience
• Excellent Guest service skills, phone presence and professional demeanor
• Highly detail-oriented with the ability to multi-task and manage projects concurrently from start to finish
• Ability to handle problems and Guests in an efficient and courteous manner
• Good communication skills, written and verbal
• Strong organization skills
• Working knowledge of Microsoft Outlook, Excel and Word
• Positive attitude
• Flexibility with scheduling

This is a full-time, non-exempt position reporting to the Manager, Guest Relations.
