The Phoenix Suns is seeking candidates for a Legal Assistant/Executive Assistant. This full-time, salaried position reports to the General Counsel and Executive Vice President, Finance & Administration. Qualified candidates will present a polished & professional image, strong organizational skills, professional phone etiquette, and the ability to anticipate needs. This position requires tact and discretion while interfacing with all levels of staff, the public, media and various basketball entities and executives.
Legal Assistant Duties:
Provide support for General Counsel and Contract Administrator; perform secretarial duties utilizing legal terminology, procedures, and documents.
Mail, fax, or arrange for delivery of legal correspondence to the NBA, Team Owners, Player Agents, outside counsel, etc.
Follow-up regarding executed copies of contracts from various departments.
Update outstanding assigned “tasks” using Microsoft Office Task Manager.
Order insurance certificates for off-site practices, basketball clinics, etc.
Follow-up for signed contracts and insurance certificates for various concerts and in-Center events.
Organization and maintenance of Legal Department files and file room.
Familiarity with Corporation Commission and court filing procedures
Paralegal experience preferred but not required
Executive Assistant Duties:
Provide support for Executive Vice President/Chief Financial Officer and perform secretarial duties utilizing accounting and finance terminology, procedures, and documents.
Working knowledge of Excel and spreadsheets.
Coordinate with the Accounting Department regarding Accounts Payable and Receivable.
Prepare and follow up on routine correspondence with banks, financial institutions, auditors, insurance providers and lender.
Basic Job Skills:
Understanding of confidentiality principles and basic business relationships.
Understanding of and sensitivity to the high profile and unique nature of the professional sports industry.
Highly proficient in Microsoft Office applications including Word, Excel and PowerPoint.
Answering and/or screening calls, taking detailed messages, setting up conference calls and scheduling meetings.
Detailed management of General Counsel’s and CFO’s Calendar and Contacts using Microsoft Office.
Ability to anticipate the needs of the General Counsel and CFO.
Ability to work well with all levels of management and staff, as well as outside clients and vendors.
Must have excellent interpersonal and communication skills (via telephone, correspondence, and in person).
Ability to work independently or in a team environment.
Must be flexible and solutions-oriented.
Ability to work under pressure.
Must be a self-starter who will take initiative and work with minimal supervision.
Project coordination experience.
Maintain department office supplies.
